About the Lite license and the operator portal
Lite licenses and the operator portal are for organizations with team members who perform regular maintenance tasks but don’t need full access to all the functionality of the CMMS. These users can now access the operator portal, a streamlined CMMS that highlights the assets, work orders, and tasks you've assigned to them.
The operator portal is designed for users who want to focus on performing regular checks, completing safety checklists, and routine cleaning and repairs. They can complete tasks and log work quickly in an intuitive interface without needing to access the entire CMMS.
When you assign a user as a Lite license user, they access the operator portal at the same URL as your organization, but will open the operator portal instead of the standard CMMS. They can view and complete tasks, see files and attachments, and finish work orders.
What can Lite users do in the operator portal?
When a Lite license user logs in to the CMMS, they won’t see the entire CMMS; they’ll only see the streamlined portal:

In the operator portal, Lite users can:
- View assets and open work orders assigned to them
- Complete tasks on work orders
- Add attachments to work orders
- Change a work order's status
Lite users can only be assigned to one location.
How to get the operator portal
The operator portal is a separate, add-on product managed through the Lite license. To get the operator portal, your admin needs to sign up for the Lite license through their Fiix representative.
Once the feature has been set up, you can assign users a Lite license and then assign work to Lite users.
Give users access to the operator portal
Users gain access to the operator portal when they've been assigned a Lite license and assigned to the Lite users user group:
Assign the user a Lite license
Once a user is assigned a Lite license, when they log in to the CMMS they'll see the operator portal instead of the standard CMMS.
To assign a user a Lite license:
- Navigate to Settings > Users.
- Click the user to edit.
- If the user status is Active, change it to Deactivated.
- Click the License dropdown and select Lite License Type:
- Click Change to confirm the user will become a Lite user and lose access to the standard CMMS.
- Click the Status drop-down to change the user status to Active.
- The user is now active as a Lite user, and will access the operator portal the next time they log on.
Assign a user to the Lite users user group
Admins assign work to Lite users through the Lite users user group. While a user can access the operator portal without being assigned to the user group, they'll need to be assigned to the user group to view and complete work in the portal.
- On the user details page, under the Access Control tab, click Add.
- In the Add user groups and access window, the Lite users user group is automatically added to the user.
- Select the site or location for the user in the Access field.
- Click Save.
Access and use the operator portal as a Lite user
Users assigned a Lite user license log in to the operator portal at the same URL as the rest of your organization (e.g. yourorganization.macmms.com).
Users that have been assigned a Lite license will be taken to the operator portal instead of the standard CMMS. Non-Lite users, including Admins, can't see or access the portal.
To use the operator portal as a Lite user:
- Log in to the operator portal at your organization’s URL (e.g. yourorganization.macmms.com).
- Search for an asset or scan a barcode or QR code.
- Click the asset to see work orders and tasks associated with the asset.
- Complete tasks or change the status of the work order.
