This process is an alternative or addition to the online/offline tracker and production time affected fields. It allows you to require technicians to record downtime as an independent meter reading when performing maintenance, which can improve data collection and downtime tracking.

Add downtime as an editable field on tasks so technicians can record downtime during maintenance and you can track downtime trends over time.
To add downtime to the CMMS, first add downtime as a new type of meter reading, then create a new task group that requires recording downtime during maintenance tasks.

Add downtime as a meter reading
Add downtime as a type of meter reading to the lookup table in the CMMS. Once downtime is added as a new type of meter reading, it can then be used in other areas of the CMMS.
To create a downtime meter reading:
- Navigate to Settings > CMMS Settings.
- Click the Lookup Tables tab.
- In the Meter Reading Units table, click the Add (
) button:
- Add the name (e.g. Downtime, Downtime recording), symbol (e.g. hrs, or h), and precision (how many after-the-decimal units required; we suggest using 2 for an H.MM format like 1.00 or 23.59):
- Click OK.
Create a record downtime task group
Now that downtime is in the CMMS as a type of meter reading, you can create a task group for tracking downtime so that it can be applied to maintenance and filled out by technicians.
- Navigate to Maintenance > Task Groups.
- Click the New button.
- Add a name for the task group (e.g. Downtime recording, Record downtime):
- Under the Task List tab, click the Add (
) button:
- Under the task details header, choose Meter reading and Downtime (hrs). The name will match what was added to the lookup tables in the previous step:
- Add a description that explains to your users that they should record downtime if appropriate, and if there was no downtime it can be recorded as a zero (e.g. "Record downtime on job completion. If there was no downtime, record a zero."). Then click OK:
- Under the Maintenance Type tab, click the Add (
) button:
- Click the Maintenance type dropdown to select the type(s) of maintenance that require a downtime reading, then click OK. Repeat to add multiple types. We suggest adding all reactive maintenance types and any type that could include downtime like Breakdown, Corrective, and Other:
- Click OK to save the task group:
Now maintenance and scheduled maintenance tasks can include the record downtime task group.
