Before you begin
If you're using v6 Equipment, it is currently not possible to generate a work order with a meter reading or event trigger.
Plans: Professional, Enterprise
Permissions: Access to scheduled maintenance
You can configure multi-asset scheduled maintenance records to be triggered by a parent asset, but generate work orders with tasks for child assets. You may want to configure this when you have a system of equipment where the performance or health of the parent asset affects the child assets as well.
This procedure consists of three major steps:
- Create the multi-asset scheduled maintenance record
- Create the trigger for the parent asset
- Create tasks for the child assets
Create the multi-asset scheduled maintenance record
To do this:
- In Maintenance > Scheduled Maintenance, click New:
- If you have multiple sites, select the site you would like to create the record in.
- In the Asset field, select your parent asset.
- Click Add another asset:
- Select a child asset:
- Click OK.
- Repeat steps 5-7 as needed to add any other child assets.
- Fill in any additional details as needed for the scheduled maintenance record (e.g. summary, priority, maintenance type, etc.).
Create the trigger for the parent asset
After creating the scheduled maintenance record, you can now configure the trigger for when work orders will be generated.
To do this:
- Navigate to the Scheduling tab, and click New.
- Specify whether to generate a work order upon all of the triggers being satisfied, or any of the triggers, by selecting the corresponding option in the tab:
- Click the Add icon at the bottom left of the table:
- In the Scheduled Maintenance Trigger window, select Generate Work Order By Meter Reading Trigger:
In this example, we are using a meter reading trigger, but other types of triggers can also be used. - Select the parent asset from the Asset drop-down:
- Configure the trigger as needed by selecting the increment, unit, and other properties. To learn more about triggers, see About scheduled maintenance triggers. This example uses a meter reading trigger.
- Click OK.
- Click Save in the top menu bar.
Create tasks for the child assets
Now that the trigger has been created, we have ensured that a work order will be generated when the trigger is set off. We can now add the tasks that will appear on the work order.
- Navigate to Labor Tasks.
- Click the Add icon (
) in the bottom left of the window.
- Click the Choose Task Type drop-down list to select the type of task (general, text, meter reading, or inspection) you are creating:
Our example will use inspection tasks. - Since we are configuring an inspection task, select any needed follow-on actions that will occur upon specified results:
For example, the task above will create a follow-on work order if the task result is Fail. - Enter a description of the task in the Description field.
- Select a child asset to add the task to:
- Click the downward arrow next to the Assign to User field and select the user or user group assigned to the task.
- In Time Estimate (hours), enter an estimate for the time needed to complete the task..
-
(Optional) Click the + button under Attached Files and Media to add attachments to the task.
Note
This feature is only available for Professional and Enterprise customers.
- Click OK.
- Repeat steps 2-10 as needed for other tasks and child assets.
- Click Save in the top menu bar.
Activate the scheduled maintenance record
After setting up the record, we can activate it so it can begin generating work orders:
- Click the activation toggle so that it displays Running instead of Paused:
- Click Save in the top menu bar. The scheduled maintenance record is now activated.
