What is the operator portal?
The operator portal is a separate, add-on CMMS product for organizations with operators doing regular checks and inspection tasks. These operators are performing important work, but they don't need access to the entire CMMS. The portal has been designed as a streamlined CMMS with these operators in mind.
Operators access just what they need in the operator portal: the assets, work orders, and tasks assigned to them.
To get the operator portal for their team, Admins and account owners purchase add-on Lite licenses and assign these to their operators instead of a full, standard license. Once these Lite users are set up, the Admin can assign work to the Lite user group so that work is available in the operator portal.
When a user has a Lite license, they log in to the CMMS and see the operator portal instead of the standard CMMS. In the portal, Lite users can only see the assets, work orders, and tasks their Admin has assigned to them.
How do I get access to the operator portal?
If you're an Admin, account owner, or decision maker for your team, getting the operator portal requires contacting your Fiix representative to purchase Lite licenses for your team. Your representative will help navigate the purchase process and set up your Lite users.
If you're an operator, your team needs to purchase a Lite license and assign it to you. Once they've done that in the standard CMMS, you can log in at your organization's CMMS URL (e.g. yourorganization.macmms.com). Logging in will take you to the operator portal if you've been assigned a Lite license.
What plans can get the operator portal?
Basic, Professional, and Enterprise plans can add Lite licenses and the operator portal to their existing plan. To get the operator portal add-on, contact your Fiix representative.
Can non-operators (like Admins) access the operator portal?
The portal replaces the standard CMMS experience for the users assigned a Lite license. When a user logs in, they're taken to the operator portal if they have a Lite license, or to the standard CMMS if they have a standard license. Admins can set up the portal for users, but they can't access the portal through their Admin account.
Changing your license type from standard to Lite license will removes the user from their user groups and permissions, so Admins should not change their license type.
What can users do in the operator portal?
In the operator portal, Lite users can:
- View and search assets assigned to them
- Scan asset QR or barcodes to see assets
- View and complete open work orders and tasks assigned to them
In the operator portal, Lite users can't:
- Add or use parts
- Add time spent on tasks
- Change asset status (set assets offline)
- See work order history or closed work orders
- Work at multiple locations or sites
- Access other features of the standard CMMS like user management, purchasing, or Admin-level features
Why can't I see assets or work orders in the operator portal?
When a Lite user first logs in, the home screen only shows a search bar and a scan code button. The user can view assets assigned to the Lite users user group using the search bar or by scanning a QR or barcode.
The search field is searchable by name and asset code.
To use the operator portal, users navigate to an asset to see work orders associated with that asset. Then they can complete the tasks on those work orders and move on to a different asset.
Is the operator portal available on mobile?
The operator portal is not accessible through the mobile app login screen, but can still be accessed on mobile devices and tablets.
Users on mobile devices can log in to the operator portal in a browser (e.g. Chrome, Safari) using their organization's domain URL (e.g. yourorganization.macmms.com).
Why can't I find a specific asset in the operator portal?
Lite users are assigned a location, and can only see assets at their location. If the Lite user can't find the asset in the operator portal, then it may have been moved to a different site or location that they don't have permission to access.
