Before you begin
Permissions: Administrators and users with:
- The Edit users and Edit direct reports system role permissions
- The User Certification, Table, and Tables user group page permissions
Thirty days before a user's certification expires, the app automatically sends a notification to the user's manager.
The app only sends one notification at the 30-day mark; it doesn't send subsequent follow-up notifications.
To set notifications for expiring certifications, you need to configure the following:
- Add certifications to the CMMS
- Assign certifications to the user
- Assign a manager to the user
- Ensure the manager has notifications turned on
Add certifications to the CMMS
Some certifications are added to the CMMS by default.
Add another certification or check certifications:
- Navigate to Settings > CMMS Settings.
- Click the Lookup Tables tab.
- View default certificates or add new certificate by clicking the Add button:
- Add a name and description, if desired, and click OK:
Assign the certification to the user
- Navigate to Settings > Users.
- Click the user to add a certification to.
- Click the More dropdown menu and select Certifications:
- Click the Add (
) button.
- Select the correct certification from the Certification dropdown menu:
- Enter additional details, including a name and description for the certification:
- Add the date range that the certificate is valid for and click OK:
Assign a manager to the user
The user's direct manager receives the notification that the certificate will expire.
To view or add a manager to the user:
- Navigate to Settings > Users.
- Click the user to add a manager to.
- Under the Account Details tab, navigate to the Assign Manager(s) header and click Add (or Change):
- Check the user(s) to assign as a manager and click Select:
- Click Save to save your changes to the user.
Ensure the manager has notifications turned on
To ensure notifications are turned on for the manager:
- Navigate to Settings > Users.
- Click the user to turn on notifications for.
- Under the More tab, click Messaging:
- Check both the Email all messages and Internal mail all messages checkboxes to receive notifications to the user's email address and internal inbox:
- Click Save.
And notifications are set up. The assigned manager will receive a notification 30 days before the certificate is set to expire.
