User management organizes and streamlines access, permissions, and settings for users. This document compares user management features of v5 (the legacy version of Fiix) and the newer v6.

User management overview
User management features help Administrators and user managers organize and streamline user-related actions. Most users will be using v6 or a combination (hybrid) of v5 and v6.

Description |
v5, the legacy version of Fiix, houses many of the user management features that organizations use frequently. User management features in v5 are robust but not always intuitive or easy to use. This version is slowly being replaced and rebuilt in v6. |
v6, the newer version of Fiix, is where we’re building new features and redesigning older ones. v6 aims to be easier to navigate and use, with complex and necessary features and improved security. |

Import users
Import users is the ability to bulk import and upload users, usually from a spreadsheet.

Description |
Bulk importing users requires a spreadsheet of importable data, saved as a CSV file or using one of Fiix’s bulk import templates. After uploading, the headings in the spreadsheet can be matched to the fields in Fiix. | Bulk importing users is more flexible, offering the ability to upload from a spreadsheet or manually enter data into the form fields. After uploading, the spreadsheet headers will be automatically matched to the fields in Fiix, with the ability to edit and adjust any issues before submitting. |

Last login date
Both v5 and v6 can show the last date and time that a user logged in on the user list page. This does not track the most recent user activity, and instead only tracks the last time the user entered their username or email address and password on the login page.

Localization
Fiix supports different language translations, as well as custom localizations for the specific terminology your organization uses.

Users can select any of the available language translations to apply to the app. Users can also create custom localizations that address terminology differences between Fiix’s language settings and your organization’s local language. |
Prioritizes your browser’s language preferences in Chrome for the v6 portions of the tenant, while the remaining v5 portions prioritize your Localization settings. Users who select Localization from the navigation bar will be redirected to v5 localization settings. |

Password expiration policy
This security setting allows passwords to expire after a set amount of time. After that time, users must create a new password.

Regions

Session timeout
This security setting enables session timeouts for all users. A user will be logged out after the session length exceeds the set length of time.

SSO
SSO is an additional-cost feature that allows users to securely access the app through their organization’s identity provider, like Azure AD, Okta, or Google. With SSO, users don’t have to remember separate usernames and passwords for each app they use. They only need to log in once using their IdP credentials.

Status
User accounts can be assigned statuses that indicate how active they are in the app. These statuses directly relate to the number of paid licenses (seats) that the organization has subscribed to. Each active user requires one paid license.

System roles
System roles are permission sets that users can be assigned to. These permissions determine users’ access across the application. Roles allow the administrator to standardize and adjust permissions in bulk. This feature is in development.

User groups perform the approximate function of System roles in v5. |
System roles act as optional bulk permission templates for users, especially users who manage the tenant and multi-site configurations. Users can be assigned to a role and gain permissions that allow them to access and perform different actions in the app. This feature is in the process of being completed. The only default roles available are User Coordinator (Read-only) and User Coordinator. The full spectrum of available permissions can still only be accessed through User groups. Users can access more v5 permissions using the “Manage permissions” drop-down menu in the System role details page, or the “More” button in User groups. |

User groups
User groups streamline user functions. User groups house permissions and assignments, and so assigning a user to a user group lets the user gain the permissions and assignments of that group.

Username-only accounts (email optional)
While most tenants use email addresses as the unique login identifier, some previously-configured tenants allowed users to sign in with a username and do not require an email address.
