Fields on work orders, assets (including parts and supplies), and projects can be customized for different user groups. Both pre-existing and custom fields can be hidden, moved, and set as a mandatory field.
This article includes the following:
- Select a user group to customize for
- Hide a tab or field
- Hide or display columns in tabs
- Rearrange a field
- Make a field mandatory
- Undo your changes to the work order form
Select a user group to customize for
By default, changes to the work order form will only be reflected on your own account. If you want to move the custom field for other users, do the following:
- Navigate to Maintenance > Work Orders and select any work order.
- In the top right corner, click the Settings icon and Switch to another profile:
- Select the user group you want to customize the work order form for.
The app displays the work order form as it is shown to that user group.
Rearrange a field
You can move fields to different locations and tabs.
To do this:
- Click the gear button (
) in the top right corner and then Rearrange:

Drag and drop any custom fields to their new location.
To move a field to a different tab:- Drag and drop it to the top section of the record above its tabs.
- Click the destination tab and drag the field there.
Note
- If you want to move your custom field to the left of another field, make sure your mouse cursor is on the left half of that field when dropping. If your cursor is on the right half of that field, your custom field will be placed to the right.
- Rearranging fields may cause other fields to shift around. You may need to increase the row or column spans of certain fields to achieve your desired layout.
Modify the row or column span of a field
The row span of a field is the vertical space under it, while the column span of a field is the horizontal space to its right. Increasing or decreasing these spaces will cause surrounding fields to move accordingly, and may help with rearranging certain fields.
This may not be effective for certain fields depending on its type or location (e.g. if the field is located in the limited area above the tabs, or at the bottom of a tab).
To modify the spans of a field:
- Click the gear button (
) in the top right corner and then Rearrange:
- Click the Customize button:
- Enter the new row or column span in their respective fields:
In the above example, the field will have an extra row of space beneath it because its row span is 2, while it has maintains regular spacing to its right because its column space is the default 1. - Click OK.
Hide a tab or field
To hide a tab or field from the user group you selected above:

Click the Settings icon and Rearrange:
- Click the tab you want to hide.

Click the Hide icon:
Note
You may have to leave the work order and return to see your changes reflected on the form.
Hide or display columns in tabs
Some tabs contain lists with columns. To hide or display these columns:
- Click the Settings icon and Rearrange:
- Click the tab you want to configure.
- Click the Select visible elements icon:
- Select or deselect the fields as needed:
- Click OK.
Make a field mandatory
By default, most fields are not mandatory. To make a field mandatory:
- Click the Settings icon and Rearrange:
- Click the Customize icon:
- Select the Required checkbox, and then click OK:
Undo your changes to the work order form
To undo any changes, click the Settings icon and Reset to default:
