Before you begin
Changing your number of licenses will affect your plan's monthly or annual cost. Plans paid using credit cards will be updated automatically, while plans using electronic funds transfer (EFT) or check have 30 days to remit payment. For more information on updating your billing information, see Change payment information.

Audience: Administrators and account owners with the necessary permissions
Your number of licenses (sometimes called seats) affects the number of active users you can have in your CMMS. Each license allows one active user. Plans are typically billed according to the number of total licenses.
On your Account Settings page, you can see your plan's total licenses, and the number of active users (the number of licenses currently being used) referred to as actual:
In this example, the CMMS has 4 total licenses with 3 active users. One more user can be activated before they need to add more licenses.
This article outlines how to adjust your number of licenses in your CMMS:
Add licenses from Account Settings
Both administrators and account owners with the necessary permissions can edit seats from Account Settings. To adjust the number of licenses from the Account Settings page:
- Navigate to Settings > Account Settings.

Click Add Licenses:
- In the New License Total field, type the preferred number of licenses:
- Click Confirm Change. This may take some time:
Add licenses from a user details page (administrators only)
If your CMMS has no more available licenses, then administrators only can add more when changing the status of an inactive user on their user details page.
- Navigate to Settings > Users.
- Click an inactive user to activate.
- Change the user's status to Active:
- In v5, click the Status toggle then click Proceed to Account Activation:
- In v6, click the Status dropdown menu and select Active:

- In the New License Total field, type in the number of desired licenses:
- Click Confirm Change. This may take some time:
- Click the Status dropdown menu and select Active to finish activating the user.
