About user groups and roles
Permissions are assigned through user groups and roles. Assign users to groups or roles to gain their permissions.

Users receive notifications, work order assignments, and gain permissions when assigned to a user group. Users can be assigned to multiple user groups, and can be assigned to different user groups at different sites. |

Set up user groups
You can set up user groups by creating a new blank user group or by copying an existing user group and its permissions.
Fiix offers premade user groups out-of-the-box, and so if you're happy with the existing user groups you can skip this section.
Create a new blank user group
To create a new user group:
- Navigate to Settings > User Groups.
- Click Create:
- In the message that appears, click Create New..
- Enter a name and description for the user group.
- Click Save.
Copy an existing user group
To copy an existing user group (and its permissions):
- Navigate to Settings > User Groups.
- Click Create.
- In the message that appears, click Copy Existing.
- Select the user group you want to copy.
- Click Copy.
- Edit the name and description of the new group.
- Click Save.
Edit user group permissions
To edit the permissions of a user group:
- Navigate to Settings > User Groups.
- Click the user group you want to change permissions for.
- Click the More drop-down menu and click Menu Permissions.
- Assign permissions by checking the checkboxes under each tab. This can be a long and involved process so we suggest you work closely with your Fiix representative. See our permission library for what each permission does.
- Assign Menu Permissions, which allows users to see menu items in the lefthand navigation menu of the web app. Click Save.
- Assign Page Permissions, which allow users to access different pages and features in the CMMS. You don't have to save between each page permission, only when switching to a new tab.
- Assign Purchasing Permissions, which allow users to manage suppliers and orders. Click Save.
- Under the API Permissions tab, click Infer Permissions from Page Permissions to quickly match the permissions you've assigned under Page permissions. This affects what the user group can access in the mobile app. Click Save.
Assign users to user groups
Once you've set up your user groups (of if you're comfortable using the default user groups), you can assign users to the groups.
To assign users to a user group:
- Navigate to Settings > User groups.
- Click the user group to assign a user to.

Set up roles
You can set up user groups by creating a new blank user group or by copying an existing user group and its permissions.
Fiix's default roles are System coordinator (for your Fiix CMMS manager, who may or may not be an Admin) and Read-only (for users who need to see details but not edit them). If you're comfortable with these roles and don't need to add any more, you can skip this section.
Create a new blank role
To create a new user group:
- Navigate to Settings > System roles.
- Click Create:
- In the message that appears, click Create New.
- Enter a name and description for the role.
- Click Save.
Copy an existing role
To copy an existing role (and its permissions):
- Navigate to Settings > System roles.
- Click Create.
- In the message that appears, click Copy Existing.
- Select the role that you want to copy.
- Click Copy.
- Enter a name and description for the new role.
- Click Save.
Edit role permissions
To edit the permissions of a user group:
- Navigate to Settings > System roles.
- Click the Permissions tab.
- Select the checkboxes for each permission that you want the role to have access to. Descriptions for each permission are listed right in the CMMS and also in the Help Center.
- Click Save.
