This article covers only the most basic steps for creating work orders. To learn about additional configuration you can complete, see the Work Orders section.
Work orders allow you to assign and track maintenance work that needs to be completed. You can create individual work orders manually (as described below) or generate work orders automatically using scheduled maintenance.
You can use a combination of these approaches to complete your maintenance. For example, if an asset is damaged unexpectedly, you could create an individual work order to deal with the repair. For that same asset, you could also have a scheduled maintenance that generates work orders weekly for regular maintenance, such as meter readings and inspections.
To create a new work order:
- In Maintenance > Work Orders, click New:
- If you have multiple sites, select the site you would like to create the work order in.
- Click Save to create your work order.
- (Optional, these fields can be populated anytime) Enter information as needed in the drop-down fields at the top section of the page:
Field name Description Example Work Order Status The work order's completion status. Open Maintenance Type The type of maintenance being performed in this work order. Preventive Priority The work order's priority. High Asset The asset the work order is performed on. X-ray machine Suggested Completion Date The date that the work order should be completed by. May 01, 2023 04:30:00 PM - (Optional, these fields can be populated anytime) Fill out the fields in the General tab as needed:
Field name Description Example Summary of Issue A high-level description of the work that needs to be completed. Check the condition of water heater Work Instructions Descriptions of how to complete the tasks in the work order. These are automatically filled in from task descriptions.
Test the pressure relief valve Assigned To User The user who should complete the work order. Carolyn Winters Estimated Labor The estimated amount of time the work order will take. 1 hour - Click Save to save your changes.
