Assets that have reached the end of their lifespan can be retired. When an asset is retired, the historical data relating to the asset is saved for your records.
This process moves the asset from the hierarchy, removes the asset from scheduled maintenances, and changes the asset’s status to show that it has been retired.
Retiring an asset is a multi-step process consisting of a few smaller tasks. Follow this checklist to retire the asset while retaining your historical records:
- Create a location for retired assets
- Move the asset to the retired assets location
- Create a work order to physically retire the asset
- Edit the asset to show it has been retired
- Set the asset to offline
- Pause any scheduled maintenances
- Remove from any multi-asset scheduled maintenance records
Create a location for retired assets
Note
This step only has to be done once. If your team already has a retired assets location, you can skip this step.
- Navigate to the Assets list page.
- Click New button:
- Click Locations or Facilities:
- Select the As a new location option and click OK:
- Name the new location (ex. “No longer in use”, “Graveyard”, or “Retired assets”) and click Save:
Move the asset to the retired assets location
Note
If you're receiving an error when moving the asset, try completing the following steps then coming back to this one.
- Navigate to Assets list page.
- Click and drag the asset to the retired assets location:
- In the confirmation pop-up, click Ok.
Create a work order to physically retire the asset
- Navigate to Maintenance > Work orders.
- Click New button:
- Select the asset to retire from the Asset dropdown list:
- Include instructions for removing or retiring the physical asset, if necessary.
- Click Save.
Edit the asset to show it has been retired
- Navigate to Assets list page.
- Click the asset to retire.
- Rename the asset to show that it has been retired (ex. “(Retired) Fridge”):
- Edit the asset code to a retired format, if necessary (ex. “ZZZ-A12”):
- Click Save.
Set the asset to offline
- Navigate to Assets list page.
- Click the asset to retire.
- Click the status toggle:
- Select the previously-created retirement work order from the Associated Work Order dropdown menu in the pop-up window:
- Add any additional necessary info and click OK:
- Click Save.
Pause any scheduled maintenances
Note
This step is only necessary if the retired asset has existing scheduled maintenances.
- Navigate to Maintenance > Scheduled Maintenance.
- Click the scheduled maintenance involving the retired asset.
- Toggle the pause button to pause the scheduled maintenance:
Remove from any multi-asset scheduled maintenance records
Note
This step is only necessary if the retired asset is a part of any multi-asset scheduled maintenances.
- Navigate to Maintenance > Scheduled Maintenance.
- Click the scheduled maintenance involving the retired asset.
- Click the X next to the asset name under the Multi Asset header to remove the asset from the SM:
- In the pop-up confirmation dialogue box, click OK.
- Click Save.
