There are two main ways to create a custom field for an asset: in the asset record directly, or (if you're on the Enterprise plan) via the data dictionary. You can configure custom fields to display only on assets belonging to a specific asset category.
As parts and supplies are considered an asset category, custom fields created for assets can also be used on parts and supplies, and vice versa.
This article covers the following tasks:
- Create a custom field directly in an asset record
- Create a custom field using the data dictionary (Enterprise only)
Create a custom field directly in an asset or part record
To create a new custom field directly in an asset or part record, complete the following steps:
- Do one of the following:
- If you want to create a custom field to use for parts, navigate to Supplies > Parts And Supplies and click any part record.
- If you want to create a custom field to use for any other asset category, navigate to Assets > All Assets and click any asset record.
- Navigate to the Custom tab and click the Add Custom Field button:
- Enter a Name and Label for the field:
The name is how the system refers to that field in the database. It must start with a letter and cannot contain spaces. The label is how you'll see the field in the CMMS. - Select a Type in the drop-down list.
The type you select defines what sort of information the field captures (text, number, date, etc.). To learn about each type, see here. - In the Applies to this asset category drop-down list, select the asset category for the custom field.
In the example above, the custom field will be displayed on all assets in the Equipment category. - If you'd like the custom field to be displayed on assets belonging to the selected category's child categories, select the Also apply this field to all child categories checkbox.

After the custom field is created, you will no longer be able to edit any of its properties except its label.
When finished configuring the custom field, click OK.
The new custom field is now visible under the Custom tab, and will be displayed for any assets belonging to the previously specified categories:
Create a custom field in the data dictionary (Enterprise only)
If you're on an Enterprise plan, you can also create custom fields through data tables in the data dictionary. To do this:
- Navigate to Settings > Data Dictionary.
- Click tblAsset:
- Click the Add button (
) at the bottom of the Fields list:
- Enter a Name and Label for the field:
