Before you begin
Version: v6 (what does this mean?)
Plans: Basic, Professional, and Enterprise
Audience: Administrators and users with the Create users system role permission.
The bulk user import feature allows you to import multiple user accounts all at once. Users can be imported in bulk by manually entering user data or by uploading a spreadsheet containing user data.
By default, bulk imported users are not assigned to any sites or groups and their statuses are set to deactivated. Before an imported user can log in, you must activate their account.
There are two ways to bulk import:
Bulk import manually from user data
To manually enter user data in the bulk import tool:
- Navigate to Settings > Users.
-
Click the Action (...) button:
Note
If the Action (...) button isn't visible, it might be due to your permissions or plan. Contact our support team for more information.
- Click Import Users:
- Manually enter your data in the correct cells. Columns with an asterisk (*) are mandatory:
- Click Continue.
-
If there are issues with the data, a pop-up window will prompt you to fix or to discard rows with issues.
- To discard the items with issues, click Continue.
- To fix the data, click Go back.
- Upon successful import, a pop-up window will show successful completion. Click Ok.
Bulk import from a spreadsheet
The easiest way to bulk import users is to use a spreadsheet, like Excel or Google Sheets, saved as a .CSV or .TSV file.
Uploading from a spreadsheet includes the following steps:
Create the user import spreadsheet
To bulk import users from a spreadsheet, you need to create the user import file and populate it with user data.
Fiix allows for some differences between your spreadsheet and Fiix’s user data, but your spreadsheet (saved as a .CSV or .TSV file) should include the following data columns:
Headers | Required | Optional |
---|---|---|
Name | ✔ | |
Email address* | ✔ | |
Role | ✔ | |
Username* | ✔ | |
Job title | ✔ | |
Personnel code | ✔ | |
Phone number | ✔ | |
Address | ✔ | |
City | ✔ | |
State or Province | ✔ | |
Country | ✔ | |
Zip or Postal code | ✔ |
*In some apps, username may replace email address as a required field.
These columns should be aligned horizontally along the top of your spreadsheet, with the data filled underneath the appropriate header.
Upload the spreadsheet
- Navigate to Settings > Users.
- Click the Action (...) button:
- Click Import Users:
- Select the spreadsheet from your device and click Open.
Confirm header rows
To upload your data accurately, the uploader tool needs to know which row of your spreadsheet contains your headers:
- If the arrow is pointing to your header row, click Yes:
- If the arrow is not pointing at your header row, but you have a header row, click Select another row:
- If there is no header row, click No header row:
Match spreadsheet headers to Fiix fields
Your spreadsheet’s data may differ from the fields in Fiix. Fiix automatically maps (i.e. matches) your spreadsheet headers to the closest data fields, but you need to confirm these mappings before moving on.
To match your headers to the fields in Fiix:
- If the header matches the data field in Fiix, click Confirm mapping:
- For headers that do not match exactly, choose the most similar option from the drop-down list, then click Confirm mapping:
- For headers that you don’t want uploaded to Fiix, click Ignore this column:
Tip
In the bulk import tool, user roles need to be matched directly with the list of roles that have been added to your CMMS. Each user can only be assigned one role. To learn more about roles, see the Roles section.
Review and save
Fiix flags data that might not upload properly before you finish bulk importing. This includes missing fields, duplicate email addresses, or duplicate usernames.
- Issues are highlighted in red. For more details about each issue, hover your cursor over the red field:
- To fix an issue, you can edit the data directly in the table.
- When you’re finished, click Continue.
- If there are unresolved format issues, a pop-up will confirm that you want to discard these items and submit the rest.
- To discard, click Continue.
- To fix the data, click Go back.
- Upon successful import, a pop-up window will show successful completion. Click Ok.
- Confirm successful user import.
