Deactivate stock

Before you begin

Only administrators can deactivate stock. Non-administrators can’t deactivate stock or view inactive stock records.

If you no longer need a stock record, you can deactivate it to prevent other users from accessing it. For example, deactivating stock prevents technicians from accidentally consuming it in work orders.

You can only deactivate a stock record if the quantity on hand is 0 and it’s not associated with any of the following items:

  • Active scheduled maintenance

  • Open purchase orders

  • Open work orders

  • Open cycle counts

  • Draft receipts

To deactivate a stock record:

  1. Do one of the following to open a stock record:

    • Click a stock record from the list in Supplies > Current Stock.

    • Click a part record in Supplies > Parts and Supplies, and then click a stock record on the Stock tab.

  2. Switch the status toggle to Inactive:

  2. Select the checkboxes next to any records you want to deactivate.

Multiple stock records selected with the More > Deactivate All menu item highlighted.
