Changing your number of licenses affects your plan's monthly or annual cost.

Only administrators and account owners with the necessary permissions can edit the number of licenses (sometimes referred to as seats) available for active users in your CMMS.
While administrators can edit licenses at any time, account owners need to be assigned specific permissions before they can edit licenses. Users that are not administrators or account owners cannot edit the number of licenses, even if assigned the correct permissions. To learn more, see Add or remove licenses.
The ability to add licenses is granted through user groups. To allow the account owner to edit licenses, they must belong to a user group with the following permissions:
- The Can See Settings Top Menu and Can See Account Settings Menu Item menu permissions:
- The Account Settings page permissions:
- The Add More Licenses page permissions:
To give an account owner permission to edit licenses:
- Find the account owner and their assigned user group(s)
- Edit the permissions of the user group to allow them to edit licenses
Find the account owner and their assigned user group(s)
- Navigate to Settings > Account Settings.
- On this page, you’ll see the name and email address of the account owner listed:
- Navigate to Settings > Users.
- Click the user with the same name and email address as the account owner.
- Find the user groups that the account owner is assigned to:
- In v5, the user’s assigned user groups are under the Groups tab:
- In v5 multi-site configurations, the user’s assigned user groups are under the Sites & User Groups tab:
- In v6, the user's assigned user groups are under the Access Control tab, under User groups:
- In v5, the user’s assigned user groups are under the Groups tab:
Edit the account owner’s existing user group to allow license editing
The following explains how to edit the account owner’s existing user group permissions to grant the necessary permissions for editing licenses. This will not grant these permissions to all users in the user group, only the account owner(s) in the user group.
To create a new user group with these permissions instead, see Set up user groups (v5) or Create new user group (v6).
To edit the account owner’s user group permissions:
- Navigate to Settings > User groups.
- Click the account owner’s user group to edit it.
- (For v6 users only. v5 users skip to the next step) Click the Permissions dropdown menu and select the Menu Permissions option:
- Under the Menu Permissions tab, select the Can See Settings Top Menu and Can See Account Settings Menu Item menu permissions:
- Under the Page Permissions tab, in the Page dropdown menu, select Account Settings.
- Select all permissions:
- Click Save.
- Under the Page Permissions tab, in the Page dropdown menu, select Add more licenses.
- Select all permissions:
- Click Save.
