This release includes the following:
Work order completion controls
In this release, you can now configure rules for closing work orders using work order completion controls. These include state-based access and mandatory completion notes. To access this feature, navigate to Settings > CMMS Settings > Maintenance and Work Order:
State-based access and required completion notes are independent of each other. You can choose to use just one setting, both, or neither. To learn more, see Configure work order completion controls.
Note
To avoid unexpected issues, workflows that change statuses should be turned off when work order completion controls are turned on.
State-based access
Enabling state-based access allows you to set which user groups can close and reopen work orders:
- To choose specific user groups who can close work orders, select those groups in the These user groups can close work orders drop-down list.
- To choose specific user groups who can both close and reopen work orders, select those groups in the These user groups can both close and reopen work orders drop-down list.
If both fields are left blank, only administrators will be able to close and reopen work orders. These configurations are enforced in both the web and mobile apps.
Once state-based access is turned on, closed work orders become read-only and must be reopened to be edited or deleted. An authorized user must first change the work order's status group to edit or delete it.
Note
The work order import feature will be unavailable until state-based access is turned off again.
Mandatory completion notes
Selecting the Require completion notes when closing work order checkbox requires users to enter completion notes if they try to close a work order without them:

Unlike state-based access, work order import is still available when required completion notes are activated. Importing new work orders does not require completion notes, but updating any existing closed work orders or closing work orders via import will prompt you to enter completion notes.
Mobile app update
This update includes version 1.45.0 for Android and 1.47.0 for iOS.
Support for work order completion controls
When activated, both state-based access and required completion notes settings are also enforced on mobile.
When state-based access is active, the app alerts you that the work order will be read-only upon being closed, and prompts you to confirm the action:
The app also alerts you when notes are required for closing work orders, and the Completion notes field is highlighted:
The following are known issues for this feature in the mobile app, and will be fixed in a future release:
- (iOS) Users can currently only reopen work orders in the work order list, and not in an asset record.
- (iOS) To view the bottom navigation menu for some recently reopened work orders, users need to re-select the work order from the list.
- (iOS and Android) When work order completion notes are marked as required but state-based access is disabled, closed work orders will display as read-only to the user on mobile.
- (Android) Work orders reopened in an asset's work order history sometimes remain read-only, and need to be selected again to be edited.
UI improvements
The following UI improvements were implemented:

- The Completion notes field in the work order Details tab now allows in-line editing.
- (Android) Increased the colour contrast in the work order Details tab for an easier viewing experience.
Enhanced data syncing (iOS)
In this release, we improved data syncing to increase login speeds for users with large datasets.
