Turn On, And Add Failure Codes To Your CMMS


Problem, Cause, and Action (PCA) is available to users on the Enterprise CMMS only. The Fiix failure hierarchy is built on the standard problem, cause, and action framework, and loosely resembles a family tree. By classifying repairs using failure codes during the work order, your organization has the ability to report on similar issues, spot trends, and take corrective action to prevent future occurrences. In this procedure we will work through enabling the feature in your CMMS and adding some codes manually.

1. Turn on Failure Codes

1. To turn on failure codes click, Settings, CMMS Settings, and Maintenance and Work Order


2. In the Failure Codes section there are three options, these are explained below the screenshot.

  1. Enable Failure Codes: Turns the feature on in your CMMS. Problem, cause and action fields will appear on your work order forms.
  2. Allow technicians to view previous work orders with a similar failure code: This will add a link from a work order, with problem A, to other work orders with the same issue.
  3. Enable strict problem, cause, action nesting for failure codes: Enabling strict mode restricts users from selecting problems, causes and actions that are not configured against an asset category or an asset. If this is off then users can select from the full list of problems, causes and actions.


2. Add Problem, Cause and Action Codes.

Once problem codes are enabled, the next step is to start adding some codes that can be applied to the work order form. Codes can be added manually, or imported into to the CMMS. For information on how to import codes to your CMMS, check out Import Problem, Cause, and Action Failure Codes article. This article will outline how to manually add codes to your CMMS.

1. To add a new problem code, click on the New button in the Problems window.


2. In the popup window enter the problem Code and Description. Click OK when finished. The Active field dictates whether the code is available for selection on the work order form. 


3. Your new, active problem code has been added to your CMMS. The next step is to add a cause. Click on the New button under the Causes window.


4. In the pop up window, repeat the process from step 2 above. Click OK to finish.


5. The final step is to add some action codes to the CMMS. To begin, click the New button.


6. In the pop up window, repeat the process from step 2 or 4 above. Click OK to finish.


7. Your new action code will be added to the CMMS. Repeat this process to add as many codes as you please to the CMMS.

Now your codes are in place, you can configure a failure hierarchy for an asset or asset asset category. PCA codes can also be applied to work orders. Information on how to do this can be found in the use failure codes on a work order article.
